Title: Loan Administrator
Reports to: Controller
Status: Full-time; Exempt
Location: Oklahoma
Position Summary
The Loan Administrator is responsible for managing the loan closing process, overseeing a portfolio of mortgage loans, and performing a variety of administrative tasks to support the organization’s lending operations. This role ensures compliance with organizational policies and delivers exceptional service to borrowers and internal stakeholders.
Key Responsibilities
1. Loan Closing Process
Coordinate and manage all aspects of the loan closing process from approval through post‑closing, including preparation, review, and timely execution of closing documents.
Communicate with borrowers, attorneys, title companies, and internal teams to facilitate smooth closings.
Maintain compliance with applicable lending policies and organizational standards.
Ensure loan documents reflect loan terms, covenants and reporting requirements.
2. Portfolio Management
Mortgage Loans:
Oversee a portfolio of Habitat for Humanity and similar organization mortgage loans by coordinating with third party servicers to ensure accurate records, timely postings, and compliance with servicing standards.
Prepare monthly journal entries for internal financials.
Review and monitor third-party servicer reports for payments, escrow accounts, and loan balances.
Address delinquencies and assist with loss mitigation strategies when necessary; coordinate with outside counsel on foreclosures.
Serve as the main point of contact for third-party service providers and respond to borrowers for issues outside the purview of the service providers as needed.
Compile information and prepare regular reports on portfolio balances and performance and provide insights to management for decision-making.
Non-mortgage Loans:
Assist with loan administration and monitor portfolio of business and impact loans, ensuring accurate recordkeeping and timely updates.
Review and monitor internal reports for payments and loan balances; address delinquencies and assist with loss mitigation strategies when necessary.
Assist with portfolio reviews – monitor borrowers’ financial performance and review financial statements for early identification of potential issues.
Compile information and prepare regular internal portfolio monitoring reports (e.g. balances, delinquency status, key terms, etc.).
3. Administrative Duties
Maintain organized loan files and documentation in accordance with internal policies and regulatory requirements.
Respond to borrower inquiries and provide exceptional customer service.
Support and assist with external audits and compliance reviews as needed.
Perform other administrative tasks as assigned to support lending operations and organizational goals.
4. General
Develop and maintain working knowledge of MetaFund’s lending programs and social impact investment approach.
Work effectively in a team environment and coordinate activities with all constituencies.
Maintain strict confidentiality when handling customer and organizational information.
Come to meetings prepared, meet deadlines, and honor commitments in support of team and organizational goals.
Qualifications and Requirements
Education: Associate or Bachelor’s degree in Business, Finance, or related field preferred.
Experience: Experience in loan administration, mortgage servicing, or related financial services role.
Skills:
Strong attention to detail and organizational skills.
Excellent communication and customer service abilities.
Proficiency in Microsoft Office Suite and loan management systems.
Knowledge of mortgage lending regulations and compliance requirements.
